When you purchase something from our store, as part of the buying and selling process, we collect personal information you provide, such as your name, address, email address, and payment details.

When you browse our store, we automatically receive information from your device's internet protocol (IP) address to help us learn about your browser, device, and operating system.

Newsletter and Email Marketing: With your permission, we may send you emails about our store, new products, promotions, and other updates. You can unsubscribe at any time.

VoxpellGPT AI Assistant: When you interact with VoxpellGPT, our AI assistant, we may collect and store conversation data to improve your experience, enhance our services, and provide quality assurance. This data is handled in accordance with this Privacy Policy and is not used to personally identify you.

SECTION 2 – CONSENT

How do you give consent?
By providing personal information to complete a transaction, verify your credit card, place an order, arrange for delivery, or return a purchase, you consent to our collecting and using it for that specific purpose only.

If we request your personal information for a secondary reason, such as marketing, we will either ask you directly for your expressed consent or provide you with an opportunity to opt out.

How do you withdraw consent?
You may withdraw your consent for us to contact you, or for the continued collection, use, or disclosure of your information, at any time by contacting us at support@voxpell.com.

SECTION 3 – DISCLOSURE

We may disclose your personal information if required by law or if you violate our Terms of Service. We will not sell your personal information to third parties.

SECTION 4 – SHOPIFY

Our store is hosted on Shopify Inc., which provides the online e-commerce platform that enables us to sell our products and services to you.

Your data is stored through Shopify's data storage, databases, and the general Shopify application. Shopify stores your data on secure servers behind a firewall.

Payment:
If you use a direct payment gateway to complete your purchase, Shopify stores your credit card data, which is encrypted through the Payment Card Industry Data Security Standard (PCI-DSS). Your purchase transaction data is stored only as long as necessary to complete your purchase transaction. After completion, your purchase transaction information is deleted.

All direct payment gateways adhere to PCI-DSS standards as managed by the PCI Security Standards Council (a joint effort of brands like Visa, Mastercard, American Express, and Discover).

SECTION 5 – THIRD-PARTY SERVICES

In general, third-party providers we use will only collect, use, and disclose your information to the extent necessary to perform the services they provide to us.

However, certain third-party service providers, such as payment gateways and other payment transaction processors, have their own privacy policies regarding the information we are required to provide for your purchase-related transactions. We recommend you read their privacy policies to understand how your personal information will be handled.

Some providers may be located in or have facilities in a different jurisdiction than you or us. If you proceed with a transaction involving a third-party service provider, your information may become subject to the laws of the jurisdiction(s) where the provider or its facilities are located.

Once you leave our store's website or are redirected to a third-party website or application, this Privacy Policy and our Terms of Service no longer apply.

Analytics:
We use Google Analytics 4 (GA4) to collect aggregated and anonymized data about user interactions with our storefront. GA4 uses cookies and similar technologies to collect information such as user demographics, page views, time spent on our site, and other anonymous metrics to help us analyze user behavior and improve our website's functionality and user experience.

Social Media and Advertising:
We use Facebook Pixel and Pinterest Tags to collect anonymous data to analyze how visitors respond to our social media campaigns.

Links:
When you click on links on our store, they may direct you away from our site. We are not responsible for the privacy practices of other sites and encourage you to read their privacy statements.

SECTION 6 – SECURITY

To protect your personal information, we take reasonable precautions and follow industry best practices to ensure it is not inappropriately lost, misused, accessed, disclosed, altered, or destroyed.

If you provide us with your credit card information, the information is encrypted using secure socket layer technology (SSL) and stored with AES-256 encryption. Although no method of transmission over the Internet or electronic storage is 100% secure, we follow all PCI-DSS requirements and implement additional generally accepted industry standards.

SECTION 7 – COOKIES

We use cookies to enhance your browsing experience and for analytics and advertising purposes. You can choose to opt out of cookies through your browser settings.

Here is a list of cookies we use:

  • _session_id: Unique token, sessional. Allows Shopify to store information about your session (referrer, landing page, etc.).
  • _shopify_visit: No data held. Persistent for 30 minutes from the last visit. Used by Shopify's internal stats tracker.
  • _shopify_uniq: No data held. Expires midnight (relative to the visitor) of the next day. Counts the number of visits to a store by a single customer.
  • cart: Unique token, persistent for 2 weeks. Stores information about the contents of your cart.
  • _secure_session_id: Unique token, sessional.
  • storefront_digest: Unique token, indefinite. Used to determine if the current visitor has access.
  • PREF: Persistent for a very short period. Set by Google to track who visits the store and from where.

Cookie Consent Management: In compliance with GDPR and other privacy regulations, we provide detailed cookie consent options that allow you to accept or reject specific types of cookies before any data is collected. You can manage your cookie preferences at any time through our cookie consent banner.

SECTION 8 – VOXPELLGPT AI ASSISTANT PRIVACY

When you interact with VoxpellGPT, our AI assistant, we may collect conversation data, including your questions and feedback. This data is used to:

  • Provide accurate and helpful responses
  • Improve the performance and reliability of VoxpellGPT
  • Monitor for inappropriate use or abuse of the AI Assistant
  • Enhance customer service and user experience

AI Data Handling: We implement robust data protection measures for AI-related data, including encryption and secure storage. AI interaction data is not used to personally identify users and is handled in accordance with this Privacy Policy. We do not sell or share AI conversation data with third parties for marketing purposes.

AI Limitations: VoxpellGPT responses are generated using machine learning algorithms and may not always be accurate, complete, or up-to-date. For critical matters, please contact our customer support directly at support@voxpell.com.

SECTION 9 – DATA RETENTION

We retain personal data for as long as we have an ongoing business need to do so. This includes:

  • Active Store Data: Personal data is retained for the lifetime of your account or our ongoing relationship

  • Non-Personal Data: Financial information may be retained longer to comply with legal requirements
  • Order Data: Order information is typically retained for 7 years for business and legal purposes9
  • Marketing Data: Marketing preferences and related data are retained for 3 years

The criteria for determining retention periods include legal obligations, dispute resolution needs, and legitimate business interests.
